About the Role:

The Senior Administrative Executive will provide comprehensive high-level administrative and operational support to the Business Leader, ensuring efficient management of day-to-day activities and enabling the leader to focus on strategic priorities. This role requires exceptional organizational skills, discretion, and the ability to interface with senior stakeholders both internally and externally.

Key Responsibilities

  • Executive Support:
    Manage the Business Leader’s calendar, appointments, and meetings, prioritizing requests and ensuring optimal time management.
    Prepare and coordinate presentations, reports, and correspondence with high accuracy and confidentiality.
    Handle complex travel arrangements and itineraries, anticipating needs and adjusting plans as required.

  • Communication & Liaison:
    Act as the primary point of contact for internal teams, board members, clients, and external partners on behalf of the Business Leader.
    Draft, review, and edit communications to ensure clarity, professionalism, and alignment with company standards.

  • Meeting & Event Coordination:
    Organize and facilitate high-profile meetings, board meetings, and off-site events including logistics, agendas, and follow-ups.
    Manage preparation and distribution of meeting materials and confidential documents.

  • Operational Efficiency:
    Oversee the smooth running of the Business Leader’s office by managing budgets, vendor relationships, and office resources.
    Identify opportunities to improve administrative workflows and implement best practices.

  • Project Management:
    Support special projects and strategic initiatives by coordinating with cross-functional teams and tracking progress.

  • Confidentiality & Compliance:
    Handle sensitive information with utmost discretion and comply with company policies and regulatory requirements.

Qualifications

  • Proven experience (typically 5+ years) in executive support or senior administrative roles, ideally in investment, finance, or corporate sectors.

  • Strong understanding of investment business operations and terminology is highly advantageous.

  • Exceptional organizational and multitasking abilities with an eye for detail.

  • Excellent verbal and written communication skills.

  • Advanced proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with virtual collaboration tools (Zoom, Teams, etc.).

  • Strong interpersonal skills with the ability to interact confidently at all organizational levels and with external stakeholders.

  • High degree of professionalism, discretion, and integrity.

  • Ability to work independently and under pressure in a fast-paced environment.
